FUB Phone Call Sync App

Install and configure the RealSynch FUB Sync App to sync your recorded Follow Up Boss calls with RealSynch and get AI Insights for your conversations.

App Set Up Instruction

Before You Install

  • Make sure you are using the same computer that will run the Follow Up Boss Sync App.
  • Before starting the installation, log in to Follow Up Boss using your default web browser on that computer.
  • Use the same Follow Up Boss account that you will use to connect the Sync App.
  • Make sure you can successfully complete Follow Up Boss two-factor authentication (2FA).
  • The FUB Sync App requires users to log in to Follow Up Boss during setup.
  • The Follow Up Boss login session is valid for approximately 30 days. After 30 days, you will need to log in to Follow Up Boss again to continue syncing.
  • If you have trouble completing 2FA during setup, first confirm that you can log in to Follow Up Boss normally through your browser, then restart the Sync App setup.

Note:: When downloading or opening the application, Windows may display a security warning such as “This file might be dangerous.”

If this appears, select More info → Run anyway to continue the installation, provided you downloaded the application from the RealSynch-provided source.

Already have the FUB Sync App installed?

You do not need to uninstall the previous version.

Simply download and install the latest version. The new version will install over your existing FUB Sync App.

Step 1:

Use the following information to connect rollout app to Realsynch:

Backend API Base URL: (unique URL from RealSynch Support)

Access Key: (from RealSynch Support)

Step 2:

  • Set or leave the default value for the Smart List Name.
  • The Sync App uses a Smart List in Follow Up Boss to determine which leads have calls or messages that should be synced.
  • Under Sync Calls and Texts From, select the desired available time period.

Important: The available lookback options may be limited to preset time periods rather than a specific date/time range.

  • Set the Sync Interval to determine how frequently the app checks for new information.
  • The sync interval can be adjusted based on your needs.

Important: Selecting a very large lookback period, such as All Time, may result in a large number of requests being sent to the RealSynch servers. Use this option carefully, particularly for accounts with a large amount of historical data.

 

Step 3:

A new window will open asking you to log in to Follow Up Boss.

  1. Enter your Follow Up Boss email address.
  2. Complete the required security verification/2FA.
  3. Enter the 6-digit verification code sent by Follow Up Boss.
  4. Complete the login and allow the Sync App to connect to Follow Up Boss.

Important: Follow Up Boss now requires stronger authentication, including two-factor authentication. The Sync App uses this FUB login session to perform the background sync.

Recurring authentication: Your FUB login session is valid for approximately 30 days. After the session expires, you will need to log in to Follow Up Boss again through the Sync App to resume syncing.

If you get stuck in a login loop, close the Sync App and first confirm that you can successfully log in to Follow Up Boss directly through your browser on that computer. Then restart the Sync App setup.

Step 4:

After connecting Follow Up Boss the same screen will appear this is just to confirm the selected options from the previous step, click continue:

 

After starting the Follow Up Boss Sync App, you may not see a window appear. This is normal.

The app runs in the Windows System Tray.

To open the app:

  • Look at the bottom-right corner of your Windows taskbar.
  • Click the ^ (Show hidden icons) arrow.

  • Look for the F Sync icon.

  1. Right-click the icon.
  2. Select Settings to reopen the Sync App.

After setup, the Sync App may not display the lookback/date setting directly.

Step 5:

You can now sync the information, sync will happen on the interval set on the previous step or by clicking sync now.

Important note: You need to have open or in the background the Rollout app, also always verify the Backend and FUB cards on the right top corner have a green status

If you need to change how far back the app should sync:

  • Select Reset and Resync.

  • Update the desired sync lookback period.

  • Confirm and Start the sync again.

Important: Reset and Resync should be used when you need to change the historical period being synced.

Step 6:

Please remember that you need to enable call recording, transcripts and summaries on the power ups page inside of Follow Up Boss, this can be found by clicking the user icon on the top right corner.

Next, go to Account Features and toggle on the Call recording, transcripts, & summaries.

 

 

Important Notes:

1. We won't be able get recordings or generate transcripts from calls we haven't ingested yet, we need the userID and organizationID which is only available once we have the call information saved on the database

2. Clients need to have open or in the background the Rollout app, also always verify the Backend and FUB cards on the right top corner have a green status

3. Remember clients that they need to enable call recording, transcripts and summaries on the power ups page inside of Follow Up Boss, this can be found by clicking the user icon on the top right corner

4. The Follow Up Boss Sync App needs to remain running on the computer and connected to the internet in order to continue syncing calls to RealSynch.

 

How the Rollout App Works:

1. First it gets all calls from the smart list set by the user, for each call it checks if that call was synched already

2. For each calls it sends a request to our backend using the endpoint and access key we set on step 1, our endpoint generates two urls, one is a pre signed temporal s3 url available for 1 hour to upload the recording, the 2 url is the one where the recording will be saved (we use same location on S3 as other recordings, the ones we save from mobile app and rollout task ingestions )

3. Rollout app uses the first endpoint to upload the call, after this for each call it sends another request to our backend to a different endpoint to let use know the upload was done correctly we just return status 200 and okay so rollout is aware we know this

 

Available Features:

1. Manually trigger synch, this will fetch all leads on generated new smart list and for each one it will trigger the save recording logic for each call on each lead.

2. Logs for each call recording synched
